READ CAREFULLY BEFORE SUBMITTING!

Eligibility 
• This show is open to all forms of arts, crafts, other merchandize and food/beverage vendors.
Deadline & Requests
• Applications are open until July 24 or until all spaces are full. Spaces are available on a first come first serve basis, it is recommended that exhibitors apply early.
Same spaces requests by previous year exhibitors MUST be received by May 1.  For late returning or new exhibitors, site requests will be booked in sequence received and availability. Attempts to accommodate will be made, but not guaranteed.
Set Up + Take Down
• ALL EXHIBITORS MUST CHECK-IN PRIOR TO SETTING UP.
• SET UP: Friday, July 24 after 1pm and/or Saturday, July 25 after 7am
• NO EARLY SET UP as spaces will NOT be ready and/or check-in team will not be on site.
ALL EXHIBITORS MUST BE SET UP BY 10am SATURDAY JULY 25.
ABSOLUTELY NO dismantling or removal of displays before 4pm Sunday. Early take-down could result in future show in-eligibility.
• One-Day participation is NOT permitted, exhibitors must commit to both days.
Event Location & Time
101 Robson Rd. (Rick Atkin Park) at Leamington Municipal Marina
• Saturday, July 25, 10am-6pm
• Sunday, July 26, 10am-4pm
Safety + Security
• By order of the Leamington Fire Dept. ALL exhibitors/vendors MUST have a type 2A 10BC fire extinguisher at their site (not only food/beverage vendors.)
• Light security will be provided overnight on Friday and Saturday.
•  Vendors may take property and goods with them overnight or leave on site at own risk.
All property and goods left, MUST be stored out of sight inside the vendor's tent with walls overnight.
Sites + Tents 
• NO make-shift unprofessional in appearance tents are permitted.
• Minimum 10’x10’ tent with walls for overnight.
• All tents MUST be properly secured for severe weather (heavy rain and wind). Weights and/or small plastic tent pegs are NOT suitable. Suggested hardware include heavy duty metal stakes and ratchet tie-down straps. It is the exhibitor’s responsibility to secure their tent properly to avoid damages to their own tent and product as well as damages that could incur to neighbouring displays.
• Be careful to avoid staking into the underground sprinkles (marked with paint)
• Space/extension towards the back of the site is allowed for shade and extra seating or storage only, trees/landscape permitting.
Space Extension towards the back for additional selling space is strictly NOT permitted and vendors will be asked to move their tent.
• Exhibitors may share a space if both exhibitors are approved by the jury.
• Hydro outlets are available to food and beverage exhibitors ONLY. Exhibitors are to be totally self-sufficient, including persons or equipment.
Parking
 ABSOLUTELY NO vehicles on the grass at any time.
• A 15min exhibitor loading zone is available along Robson Rd. next to the event. Exhibitors MUST unload their vehicles and then move to accommodate other exhibitor needing to unload.
Strictly NO exhibitor parking along Robson Road or in the paved marina parking lot. These spaces are for visitors and vendor patrons.
• Exhibitor parking is available at Dr. Georges Dentistry at 19 Robson Rd.

Refunds + Cancellation

Sorry, refunds will not be issued for ANY reason. Consider carefully and check your calendar BEFORE you apply.

• This is a rain or shine event. No refunds due to weather.

Food/Beverage Vendors - Additional Information

Food/Beverage Vendors:
ALL FOOD/BEVERAGE VENDORS MUST complete an application with the WECHU: https://www.wechu.org/food-vendor-application. Failure to do so will result in the WECHU denying your participation in the event.

• All Food/Beverage vendors must provide a certificate of insurance (COI) with $5M liability, naming "The South Essex Arts Association/Leamington Arts Centre" as well as 'The Corporation of the Municipality of Leamington" as additional insured. Please contact your insurance agent.

• Stickily NO GENERATORS or INVESTORS. Hydro and Water will be provided to all Food/Beverage Vendors.

• MUST bring own power/extension cords (approx. 100ft or more) and MUST bring cord covers/mats to go over cords, hoses, etc for safety.

• MUST bring own grey water disposable containers.

Selecting the inappropriate site option may result in additional processing fees for refunded/cancelled applications. (ex: a food/beverage vendor who selects another area than the Galley)

LIMITATION OF LIABILITY: I/we hereby agrees to hold the South Essex Arts Association/Leamington Arts Centre, the Arts @ the Marina Committee, their officers, directors, employees and volunteers, and the Corporation of the Municipality of Leamington, harmless from any and all damage, expense or liability from any injury or damage to any person, including the general public, the exhibitor, its agents or employees or to the property of the exhibitor arising out of the exhibitor’s participation in Arts @ the Marina. The South Essex Arts Association/Leamington Arts Centre will not be responsible for any loss or losses incurred by the exhibitor, as a result of fire, theft, water, accidents, weather, acts of God or other mishaps or incidents not specifically enumerated herein. Recognizing that Arts @ the Marina is run by a not-for-profit charitable organization, the exhibitor assumes all risks and responsibilities in participating in this event.
